Bureaucracy? It Can Cost More Than €500,000 a Year. For Factorial, the Solution is Adopting AI

Bureaucracy is not just a waste of time: it also represents a significant waste of money. According to an analysis by Factorial, for a company with 100 employees, it can cost up to half a million euros a year. Hours spent managing paperwork, errors due to complexity and unintuitive procedures, and the inevitable slowdowns affect production.

Not only that: according to the analysis, bureaucracy also negatively impacts worker well-being, significantly increasing stress.

Bureaucracy in Italy: A Thorn in the Side of Enterprises

Anyone who has dealt with Italian bureaucracy knows how complicated and time-consuming it can be. Factorial tried to quantify the waste by interviewing 206 senior managers from companies with 50 to 100 employees and presented the results in the study Syndrome of Paperwork.

It emerges that one in three managers (37%) spends more than 5 hours a week just to keep up with bureaucratic commitments. These activities not only take time away from strategic planning but also generate errors and slowdowns in processes 68% of the time. Thus, there is an impact on productivity, which inevitably suffers. According to the report, if these managers could free up the hours dedicated to 'paperwork,' they would invest it in training and development (54%) or strategic activities (51%).

One might say that digital technology has improved the situation, but according to Factorial's analysis, that is not the case: digitalization has simply shifted the operational burden online but has not reduced it.

In addition to the impact on company finances and operations, Factorial's report also highlights another aspect: the impact of bureaucracy weighs heavily on employee well-being. 46% of the sample associates administrative activities with stress or anxiety, while 40% talk about frustration and 26% report demotivation. Problems that often extend beyond work, impacting personal life: they reduce sleep quality and affect personal relationships. Over half of the managers (64%) claim to have considered leaving the company due to these problems, and 18% say they actually left their position because of this.

The Solution According to Factorial: Adopt AI

The solution to the problem, according to the analysis, lies in AI. Many managers are already doing this: 67% of respondents say they have adopted AI tools to reduce operational burden. But these are not fully effective tools, as they have not yet been integrated into business processes.

"Internal bureaucracy is not just a cost; it is an excuse. As long as managers spend the week approving vacation requests and validating expenses, they have the perfect excuse to avoid difficult tasks. Integrated AI does not just automate work. It eliminates the alibi," comments Giovanni Giamminola, AI expert and business consultant.

"Italian companies are paying a very high price for inefficient administrative processes that take away time and value from people's work," comments Jordi Romero, CEO of Factorial. "Digitalization is not enough: without simplification, there is a risk of merely shifting complexity online. Artificial intelligence can automate repetitive tasks and return time to strategy and innovation, but truly effective and integrated tools are needed. Today, it is no longer a competitive advantage but a necessity."
